We have some suppliers who require immediate payment upon receipt of the invoice, for example Training providers who require payment at the point of booking a course. The majority of suppliers are set up with 30 day payment terms as standard and this is only reduced by exception. Some suppliers have been set up with longer payment terms of 45 to 60 days,

Dispute resolution process

All invoices are input into the finance system and sent for approval via the system to the relevant department that initiated the spend. If there is a dispute with the invoice, the department which initiated the spend would be responsible for querying this with the supplier.
Upon resolution, the department would either approve the invoice on the finance system or would request a revised invoice to be issued. Once the invoice has been entered onto the system and approved inline with the authorisation limits, the invoice will be paid on the following payment run. Payment runs are performed once a week.
