Dispute resolution process
Complaints regarding non-payment of invoices are handled by the accounts payable team, who will confirm that the invoice has been received, recently paid, is due for payment or on hold. If this does not resolve the query and/or the invoice is not available for payment (on hold), they will follow one of the following resolution routes.
(a) Invoices relating to stock purchases are compared to the purchase order. Where values do not match, they are placed on hold for our purchasing team to query with the supplier. Once the issue is resolved and a document to correct the difference is received, the invoices(s) will be cleared for payment.
(b) Invoices relating to non-stock items require approval from the requestor prior to being made available for payment. The requestor will deal directly with the supplier when discrepancies arise. Once any issues are resolved, the invoice(s) will be passed for payment.
