Dispute resolution process
Contact suppliers and advise the issue and why no payment has been made. Once we receive an invoice from the supplier and if there is a query with the PO (such as a shortfall or additional information is required) we contact the internal budget holders (either by email or a phone call) to action on their end and assist Accounts Payable in accelrating the payment and ask them to contact their supplier also. Supplier reconciliations are done on a monthly basis and a parked list is maintained for outstanding invoices.
